    • POSITION SUMMARY
      This headcount will report to Compliance and Legal Affairs Manager and support department’s objective in managing administrative duties and document control for corporate documents such as but not limited to agreement, business license, etc.
       
       
       
       
      RESPONSIBILITIES
       
    • Project Based duties:
      • Update and Upload new Company Legal Documents in OSS system.
      • Go to authorities’ office such as BKPM or other government institutions (once needed).
      • Assist in absence of executive assistance.
    • Daily duties:
      • Legal -  Document Control for SOP, Form, Agreement and Corporate Documents:
        • Review/ update master list regularly for each document category and ensure the information provided on the list is accurate and up to date.
        • Organize original copy of documents in order so easy to find.
        • Ensure all documents stored, restored and locked safely to avoid missing documents.
        • Ensure scanned copy (soft copy) and hyperlink of each document is available and organized at certain folder.
        • Ensure approved documents are circulated to all stakeholders.
        • Remind the process owner one month before the SOP, Agreement or Company Legal Documents expired.
        • Withdraw expired documents.
        • Assist other employees who need to submit/ borrow SOPs, Agreements and/ or corporate documents and ensure all request recorded on log book.
        • Ensure all original copies that borrowed by employees returned on time.
        • Remind the process owner to follow SOPs related to document management (such as SOP for Preparation of Document, Control of Document and etc).
      • Compliance - Check and review small meeting expense claim from Field Force.

      QUALIFICATION
    • Holds bachelor degree in Law or Business or related field.
    • Age maximal 35 years.
    • Min 1-3 years of working experience in related function. Experienced in Legal, registration (OSS, BKPM or any other authorities), internal control and/ or document management would be advantages.
    • Tidy and organized.
    • Good in English both written and oral.
    • Good in computer literate and familiar with Ms. Office especially Ms. Excel
    • Good communication and interpersonal-skill, result oriented, hard-working and able to work under pressure.
    • Dynamic, have excellent attitude, self-initiated, willing to learn and to work hard.
